How to read and use Appointments reports in ClinicSense

The Appointments Report provides a list of appointments within a specified date range.

Usage Guide

To generate an Appointment Report:
  1. From the top menu, select Reports
  2. Choose the Appointments Report from the left side

  3. Apply your desired filters
  4. Click Generate Report

Filtering Options

The report offers various filtering options to customize the view:

  • Date Range: Specify a range of dates to generate the report.
  • Practitioner: Filter appointments by the practitioner who fulfilled them.
  • Service: Narrow down appointments by the service type.
  • Appointment Status: Choose from options like all appointments, excluding cancellations & no-shows, canceled appointments, or no shows.
  • Client Type: Filter appointments by client type, including all clients, new clients, or returning clients.

 

Data

When generated, the Appointments Report presents information in a table with the following format:

  • Date: The date of the appointment. Clicking on the date of an appointment will open up the appointment page, allowing users to view or edit appointment details as needed
  • Client: The name of the client associated with the appointment
  • Practitioner: The practitioner responsible for fulfilling the appointment
  • Service: The name of the service or session booked for the appointment
  • Status: The status of the appointment, indicating whether it is:
    • Upcoming, which means the appointment is for a future date
    • Due, which means the appointment is in the past but hasn't been paid
    • Paid, which means the appointment is in the past and has been paid
    • Cancelled, which means the appointment was scheduled and then cancelled
    • No-Show, which means the appointment is in the past and the client didn't show up for it
  • Total: The number of appointments in the given date range 

 

Exporting Instructions

  1. From the Appointments Report report page, click the Download PDF button at the top right

  2. If directed to a preview, select the download icon to save the file locally

To export as a CSV:
  1. From the Appointments Report report page, click the Download CSV button at the top right

  2. The file will automatically be saved to your computer
