Step 2: Adding a practitioner to your ClinicSense practice

  • Practitioners define the people who offer services at your practice
  • You'll need practitioners for scheduling appointments, writing treatment notes, and running reports
  • Each practitioner can have a ClinicSense login, allowing them to access the system

About creating practitioners

  • Generally, the first practitioner you add will be yourself
    • When that's the case, make sure to mark the first practitioner as your own profile
    • Part E: Account explains that process
  • Each subscription plan includes 1 practitioner

Part A: Adding practitioners

  1. Go to Setup, then Practitioners
  2. Click Add Practitioner, at upper right
  3. Enter the practitioner’s name, then click Save
  4. Move on to Part B, below

Part B: Practitioner profile

  1. Complete Part A, above
  2. Optionally, add a Photo (.jpg, .jpeg or .png), which will be show to clients booking online
  3. Optionally, add any License Number(s), which will be shown on treatment notes and invoices
  4. Optionally, add a Tax ID, which will be shown on invoices
  5. Optionally, add a Signature, which can be used on treatment notes and invoices
  6. Click Save, in the bottom right corner
  7. Move on to Part C, below

Part C: Working hours

  1. Complete Part B, above
  2. Go to the Hours tab, above the Photo
  3. Check off the days the practitioner regularly works
  4. Optionally, if the practitioner has a single shift, select a Start Time and End Time for each working day
  5. Alternatively, if the practitioner works split shifts, click the add (+) icon and then select a Start Time and End Time for each shift
  6. Click Save, in the bottom right corner
  7. Move on to Part D, below

Part D: Online scheduling

  1. Complete Part C, above
  2. Go to the Online Scheduling tab, above the Photo
  3. Select an Allow clients to book online? option
  4. Optionally, select a Which clients can book online with this practitioner? setting
  5. Optionally, select a Show my availability setting
  6. Optionally, visit the How to choose scheduling settings for specific Practitioners guide for more details about each available setting
  7. Click Save, in the bottom right corner
  8. Move on to Part E, below

Part E: Account

  1. Complete Part D, above
  2. Go to the Account tab, above the Photo
  3. Optionally, if you’ve added yourself as the practitioner, select This is me
  4. Alternatively, select either Do not allow practitioner to login or Allow practitioner to login
  5. Optionally, if selecting Allow practitioner to login, enter the practitioner's Email Address and click Change Permissions to adjust their level of access
  6. Optionally, visit the Understanding Practitioner permissions in ClinicSense guide for more details about practitioner permissions
  7. When done, click Save at bottom right
  8. Move on to Step 3: Adding services to your ClinicSense practice
